This is quite hard because there is no way to do it the 'right way' so I am trying to do it the least wrong way.
Cindy called the IRS and talked to ID#1499828.
"Ok she said different options...pay all taxes...ask employees to give money back...to pay taxes...write all information correctly even zeros if necessary then file a corrected w2c later when coming clean but with a penalty on my part."
Problems I've addressed as best I know how:
I printed out w-2s from quickbooksonline (QBO) for the people who had data. There are a couple places where Cindy's totals are less than what quickbooks has so I tried to adjust appropriately.
Janita: We settled with her for $1,541. $2,936 was the last total I had in QBO so I believe the most accurate thing to do is add the two together.
So.. what do I do about SS and Medicare? Since they haven't been paid anyway, I'm thinking the best thing is to let it calculate what should be paid and just eat the difference between what was paid and what should've been withheld. Janita's taxes, for example would cost $118.49. This means she was over payed $118.49 because it should have been withheld. Considering our mess, eating the difference seems better.
Zeros were put in for Sheila and Audrey, who didn't have QBO #s so no withholdings... ever.
Jessica Arora. Since our numbers don't match, I went back to her last paycheck (July) and only added the hours from Aug-Dec. [your record says she was paid $4909 all year, but $5942 was paid from Jan-July.]
I have to reenter all of this data in a different software program/database because I can't just put random numbers into QBO. At least, I don't know how.
No SS# for Sheila. FIXED
No last name for Audrey. FIXED
The Employer copies of Allyson, Audrey, Jamelym, Sheila, Janita, and Jessica's W-2 are in that folder.
I think I'm done.
